Chopstix for Charity couldn't happen without the hard work of our all-volunteer planning committees and chairpeople. These committees are critical to making the event a success and you can join as a chairperson or committee member. Please note that committee chairs should plan on at least a 6 month commitment prior to the event. If you are interested in joining a committee, please go to our volunteer page.
Chopstix for Charity has the following committees:
Corporate Sponsorship Committee
- Coordinate corporate sponsorship activities
- Followup with team members who have corporate sponsorship leads
- Proactive in finding new leads and encourage team to do the same
- Ensure corporate sponsors provide funding & marketing materials 4 weeks prior to event
- Consolidate and report on corporate sponsorship status
- Ensure funds are given timely to the NAAAP VP of Finance for deposit
- Provide monetary value of sponsorship to Finance Chair for tracking
Food Sponsorship Committee
- Coordinate all food activities
- Followup with team members who have food leads
- Proactive in finding new leads and encourage team to do the same
- Ensure food donors provide details on donation and marketing materials 4 weeks prior to event
- Consolidate and report on food donation status
- Provide monetary value of donation to Finance Chair for tracking
- Coordinate food pickup/delivery the day of event
Beverage Sponsorship Committee
- Coordinate all beverage activities
- Followup with team members who have beverage leads
- Proactive in finding new leads and encourage team to do the same
- Ensure beverage donors provide details on donation and marketing materials 4 weeks prior to event
- Consolidate and report on beverage donation status
- Provide monetary value of donation to Finance Chair for tracking
- Coordinate beverage pick-up/delivery the day of event
Auction Prize Sponsorship Committee
- Coordinate all prize sponsorship activities
- Followup with team members who have prize sponsorship leads
- Proactive in finding new leads and encourage team to do the same
- Ensure prize, details and marketing materials are received 4 weeks prior to event
- Consolidate and report on auction prize sponsorship status
- Provide monetary value of sponsorship to Finance Chair for tracking
Logistics Committee
- Coordinate venue selection activities
- Serve as event venue liaison
- Coordinate supplies delivery/pick-up the day of event
Public Relations Committee
- Compile and distribute press releases or article writeups
- Serve as liaison to other media outlets
- Update and compile communication materials (letters, Website content, ect.)
- Communicate event to other organizations
Marketing Committee
- Responsible for (and possible design) the aesthetics for the event (logo, Website layout, venue layout, etc.)
- Design and print event ticket
- Design and print silent auction forms
- Design and print flyers
- Consolidate marketing materials from all sponsors. Ensure they are received 4 weeks prior to event
- Present event program manual design options for team
Finance Committee
- Track all event-planning costs, including committee reimbursement process
- Consolidate monetary donations reviewed from corporate sponsorship, prize donations and food sponsorship (work with appropriate chairs)
- Track event ticket disbursements
- Follow-up with team members on overall financial status
Technology Committee
- Maintain and update Website
- Coordinate with venue about technology issues and set up for event
- Provide technical support for all committee chairs
Communications Committee
- Take meeting minutes
- Ensure minutes are distributed to planning committee no more than 2 days following meeting
- Draft communications and announcements to the general public
- Draft communications and announcements to other Asian-American organizations
